Frequently asked questions

Questions, answered

The most common things people ask before signing up, and after.

What is Xentra?

Xentra is a unified retail platform — Point of Sale, inventory, credit sales, purchasing, accounting, HR & payroll, tax, and marketing, all in one place, sharing one set of numbers. It's built for shops and small retail businesses that need real books, not just a till.

Is there a free plan?

Yes. The Free plan covers the essentials — POS, one branch, core inventory. Paid plans add more branches, staff seats, and modules like Purchasing, Accounting and HR & Payroll. You can see exactly what's included on the Plan & Billing page inside the app, or on the pricing section of this site.

Does Xentra work without an internet connection?

The Point of Sale screen keeps working offline — sales queue on the device and sync automatically the moment it's back online. Other parts of the app (inventory edits, reports, settings) need a connection, since they read and write the shared books directly.

How do I add my first product?

Go to Products and tap "Add product." You can type the details in by hand, or scan the barcode on the packaging — Xentra checks your own catalog first, then a shared community catalog, then public barcode databases, so a product is often already filled in for you.

What's the difference between a sale and a credit sale?

A sale (Point of Sale) is paid for on the spot — cash, card, transfer, or mobile money. A credit sale (under Credit Sales) is goods handed over now with payment expected later; it tracks what a customer owes, when it's due, and reminds you as the due date approaches.

Can I run more than one shop or till?

Yes. Branches are physical locations; each branch can have several registers ("tills"). Stock, sales and cash are tracked per branch, and you can filter every report by branch. Set these up under Settings → Branches.

Can I control what my staff can see and do?

Yes — under Settings → Users & Roles. Xentra ships with standard roles (Owner, Administrator, Manager, Cashier and others), each with a sensible set of permissions, and you can create custom roles if you need something more specific — for example a cashier who can sell but not see the accounting books.

Does Xentra handle Nigerian tax?

Yes — VAT, CIT, PAYE and other statutory rates are built in and kept current, with a plain-English explanation of each one under Tax Settings. Xentra applies the right rate automatically at the point of sale and rolls it up into your tax reports; nothing needs to be calculated by hand.

How do I see whether my business is actually making money?

Accounting turns every sale, purchase and expense into real double-entry books automatically — you never have to touch a debit or a credit. The Accounting Dashboard shows Money earned, Profit before expenses, Take-home profit and What you own in plain terms, with the full Profit & Loss, Balance Sheet and Trial Balance underneath for anyone who wants the detail.

Is my data backed up and secure?

Yes. Your data lives on secured, regularly backed-up servers, and every account is protected by password authentication with role-based access control, so staff only ever see what their role allows. An audit trail records who changed what, and when.

Is there a mobile app?

Yes, for Android and iOS, built to match the web app's design and cover the same day-to-day work — Point of Sale, stock, credit sales, customers and more — with a few things adapted for a phone (like bottom sheets instead of pop-up windows) and a couple of desk-only tasks, like editing the chart of accounts, left to the web app.

How do I invite a staff member?

Settings → Users & Roles → Add user. Give them an email address and a role, and they can sign in immediately with the credentials you set.

Can I export my reports?

Yes — the Accounting page has an Export button covering Excel, Word and PDF, and you can filter by date range first so what you export matches what's on screen.

How do I change my subscription plan?

Settings → Plan & Billing shows your current plan, usage against its limits, and lets you upgrade or downgrade at any time.

I forgot my password — what do I do?

On the sign-in page, select "Forgot password" and enter the email on your account. We'll send a link to set a new one; it expires after an hour for security.

How do I get in touch with support?

Use the Customer Care page — the form there reaches us directly. If you're signed in, we already know which account you're asking about, so there's nothing extra to fill in.
